Dear members of Labyrint,
On the 17th of March, the General Assembly took place during which many different presentations were given. First, the Financial End Report of Board 78 was presented, followed by the Rebudget of Board 79. Furthermore, an Advisory Board taskforce presented the new Protocols around Social Safety. Finally, both the Treasury Committee and the Advisory Board presented the revised Regulations. In this email you will find the English summary, where the important decisions and updates are described.
Announcements & updates
At the beginning of the General Assembly (G.A), there was room for announcements and updates from the G.A Chairman, the Board, and the committees. The Board announced that the new Articles of Association have been signed by the notary and that they forgot to add the adjusted Half Yearly Report to the convocate, so it will be handled at the next G.A.. Furthermore, the Board announced that SPS NIP will not continue with the Municipal Boards next year, and that they will divide the National Board among committees. Additionally, the Board reported that the next G.A. will take place on April 29th, which means that they would like to receive the essential documents on April 20th at the latest. They also explained that there was an attempt to steal in the Common Room during the Congress, so they want to be more careful by telling people that they need to close the Common Room if they leave and there’s no one anymore, and that you can always leave and pick up the key at the front desk. Finally, the Board installed one new member of the deSofa Committee and they announced that there’s G.A. bingo again!
The Advisory Board reported that the Addendum has been properly adjusted. The Treasury Committee explained that they checked the new version of the Financial End Report of Board 78 and evaluated how they missed the mistakes.
Finally, all the committees gave updates regarding their activities or products. The All Years Weekend Committee announces that they have finished evaluating the all years weekend and that they are organizing the cantus that will take place on April 15th with the theme ‘Oktoberfest’! The Yearbook Committee reported that they have had their social activity, which was a very fun movie night, and that they will work hard on the yearbook now. The Short Studytrip Committee explained that the trip has taken place and that it was, despite some last moment changes, very fun! Now they will focus on the social activity on May 19th. The Congress Committee announced that the Congress has taken place, which went well, and that they are now evaluating it. The deSofa Committee is finalizing the first edition of deSofa, which will be shown at the release party on April 9th, and that they have set the theme of the second edition. The First Years Weekend Committee announced that the theme of the First Years Weekend is ‘Greek Gods’ and that they had a fun theme reveal! The Party Committee has had a great party in February and they have started with the organisation of the next party. The Formation Committee reported that they have had the first meeting together with the Board and that they are starting with the interviews soon! The Network Committee is busy organizing the Alumni Symposium with the theme ‘Burn-out & Resilience’ and the Education Committee has had their lecture ‘Behind the Crime’ and is now working on the workshop that takes place on April 20th. The Social Activities Committee announces that the Gala of April 17th is getting closer and has the theme ‘Golden Hour’. You can still buy your ticket! Additionally, they have started organizing the social activity in May which is going to be very fun! The Starting Committee reported that the Parents Evening was a big success and that they are working on the Boat Trip right now. This will take place on April 24th, which is also the birthday of Labyrint! The Long Studytrip Committee is very busy arranging the trip to Madrid, which will take place from May 3rd to 9th. You can still sign-up to join if you want! Finally, the Wellbeing Committee is doing good on the promotion of the Labyrun. It will take place on May 12th and the charity for the run is about Sexual Violence. It will be a Colorfestival with games, a live band, and much more! And they are still collecting empty cans if anyone has some.
Presentation Financial End Report Board 78 2024-2025
The Treasurer of Board 78 presented the Financial End Report of Board 78. He explained that, after presenting it in October 2025, there were two mistakes to be found in the document. This is because there was an additional contribution fee that was not included, and there was more money from acquisition from third parties than they thought. This resulted in a change in the profit and loss account. No questions were asked, and the Financial End Report Board 78 2024-2025 was approved by the G.A..
Presentation Rebudget Board 79 2025-2026 and Specification
The Treasurer of Board 79 presented the Rebudget of Board 79. She explained that the financial situation of the association looks differently compared to the previous budget plan that was presented. She talks about, among other things, the status of acquisition, more tickets sold for the Congress, and a higher VAT rate for the First Years Weekend. For questions, you can send an email to bestuur@labyrintleiden.nl. In addition to a few ambiguities about the Network Committee, there was a discussion about the reduced amount of money that Labyrint contributes to the Labyrun of the Wellbeing Committee. The committee explained that this reduction can result in problems concerning the subsidy application of the municipality and the law. It is not completely clear about how strict these rules are, so they have to figure that out. A majority of the G.A. requested to change the Labyrint subsidy back to the previous amount until these rules are more clear and the money is not necessary. Furthermore, it was brought to the attention to promote the LUF donations more at the EL CID and to change the settings so that people automatically donate to LUF. Additionally, a question was raised about the reduction acquisition for the Congress, about which the Board explained that there was a mistake made and that they will look into it for next year. Finally, the Treasury Committee gave some remarks about some details in de Rebudget. The Rebudget was approved by the G.A. subject to the said changes.
Presentation Social Safety Advisory Board 2026-2026
A member of the GGD taskforce of the Advisory Board presented the protocols of Social Safety Advisory Board. She talked about the six different protocols: ‘Labyrint Code of Conduct’, ‘Reporting procedure for (sexual) Transgressive behavior Labyrint’, ‘Confidential Contact Person Policy’, ‘Labyrint Sanctions Protocol’, ‘Labyrint Emergency Protocol’ and ‘Labyrint Mourning Protocol’. Additionally, she showed the infographic where all the policies come together in a clear overview and which will be put on the Labyrint website. There were a number of questions and discussion points, such as the retention period of official warnings. The protocols were approved subject to the said changes. There was no voting on the infographic; this will be checked again at the next G.A..
Presentation Revised Treasury Committee Regulations and Changes
The Chairman of the Treasury Committee presented the Revised Treasury Committee Regulations. He pointed out two additional sections in an article of the Regulations. It was approved by the G.A..
Presentation Revised Advisory Board Regulations and Changes
A member of the Advisory Board presented the Revised Advisory Board Regulations. She described the changes and that there is a change in spelling throughout the entire document as a result of the Revised Treasury Committee Regulations. They also solved the issue about the process of installing and uninstalling an acting board in case of the current board drops. It was approved by the G.A..
Any Other Business (A.O.B.)
There were some questions about Lex’s white socks that didn't fit very well with the neat outfit he was wearing. He admitted to be a bit lazy. The taskforce ‘By the Book’ also asked if they could sit together with the Board to discuss making a better overview of G.A. documents. Furthermore, the Board checked and announced that no one had bingo this time. Also, a member asked for a summary of the motion play in the minutes, since it took place later than usual and the Board emphasizes the new closing rules about the Common Room once again.
